360° Strategic Asset Management > Common > Specific Register > Function > Exchange

This button opens the object exchange form which allows you to install or exchange or remove an item/object at a structure position. The purpose of the exchange functionality is to install a valid item/object in a selected position, remove an installed item/object or first remove an installed item/object and replace it with another valid item/object. The steps can be specified to be executed sequentially.

The exchange process consists of three possible steps:

·  Install

·  Remove

·  Install and remove

The exchange process enables the user to install an item/object from the specific structure in the selected position. An item/object can only be installed in a selected position in the structure if it is empty. Only active and serviceable item/objects can be selected to be installed and the item/object cannot be installed elsewhere in the structure or in another structure. The install drop down list has 2 tabs – the first tab will display a list of specific identifiers for which the object code is associated with a related object for the specific position. The second tab displays a list of specific identifiers which are associated with a resource. Each resource is associated with valid items and each resource is associated with an object structure item.

In the case where an item/object is selected to be installed and the process completed successfully the installed indicator will be checked. The exchange date and time will be populated with the system date and time. The install indicator will stay unchecked if the install process encountered and error. An error log entry will be created in the case where an error occurred and the installation could not be completed.

The user can only remove an item/object that has been installed in the selected position. When creating a new exchange entry and an item/object has been installed in the selected position, the installed item/object will automatically be assigned to the “Remove specific identifier” field. In the case where no item/object has been installed in the selected position the field will be empty. The remove indicator will be checked as soon as the removal process is completed successfully. The exchange date and time will be populated with the system date and time. The remove indicator will stay unchecked if the install process encountered and error. An error log entry will be created in the case where an error occurred and the installation could not be completed.

The user will be able to combine the removal and installation process. First remove an installed item/object and then replace it with another valid item/object. The user will not be allowed to remove an item/object that has not been installed. The item/object will first be removed and only if it has been successfully removed will it be replaced with the selected item/object. Both the remove and install indicators will be checked if the exchange process is completed successfully. Any errors that occurred during the exchange process will be written to the error log. The exchange date and time will be populated with the system date and time.

A sequence of exchange events can be created for the positions in the structure and will be executed in order of the sequence specified. It is important sequence the steps in a top to bottom order in the structure i.e. an item/object cannot be installed in a lower position before an item/object has not been installed in a higher level position. The exchange process will validate correctness and will write an entry in the error log and the exchange process will end in error.

Exchange results:

The result of installing an item/object is the assignment of the installed specific identifier and structure code of the position where it has been installed and the install indicator will be checked. The parent specific identifier and structure code will be assigned i.e. for the installed item/object its parent will be determined. The end specific identifier and structure code will also be determined i.e. the top or highest specific identifier and structure code where the selected item/object was installed.

For a removal the installed specific identifier and structure code of the position where it has been installed value will be set to an empty value and the install indicator will be unchecked. In the same way the higher assembly and top assembly values will be reset.

History entries will be created with the installation and removal processes for both the installed/removed item/object as well as the affected specific structure.

Set-up of valid item/objects:

A pre-requisite to install item/objects in a specific position in a structure it is imperative to define the valid item/objects and associate it with the position where an item/object must be installed. These item/objects are defined via the object structure item/objects and object structure related functionality on the object structure form.

Object Structure Item:

If valid item are defined for a position, the install process will validate that the item selected to install, conforms to one of the items defined here. If not, the system will not allow installation of the item. The specific structure and install position must associate with the above mentioned item via the resource button on the specific structure form.

Object Structure Related:

This form is used to define the valid object codes which can be installed in this position in the structure. In the case where an entry does not exist, this position can indicate a phantom position and will only be used to indicate a logical grouping of lower level positions. These lower level positions will then be associated with related object structures. The user will not be allowed to install an item/object in a phantom position.

Exchange pre-requisites:

Various rules exist for the enabling and disabling of the exchange button on the specific structure form. The following rules apply:

·  The exchange functionality will only be available on the lower level positions of a structure i.e. install and remove of item/objects cannot be done on the top position of the structure.

·  If the parent has not been installed in the higher level structure do not allow the selected item/object to be installed

·  If the parent has been installed, then allow installation.

·  Also check for phantoms. A phantom will not allow for an item/object to be installed.

·  If the higher level is a phantom, then check if item/object higher up in the structure has been installed. If so, allow exchange otherwise not.

Note

Additional functionality

The grid at the bottom of the form displays the current meter values of the specific structure affected by the exchange process. The user is allowed to edit the installation age and parent age values. Specific structure history as well as specific age history entries will be created to keep track/history of the changes.

Note

Install/Remove an item/object

If the item/object to be installed or removed is an assembly all lower level items/objects of the assembly will be installed or removed as well. When the process was successfully completed, the Removed or Installed indicators will be selected. To install/remove an item/object, insert a new row into the grid, and the following fields are relevant:

Exchange an item/object

To perform an exchange, select both remove specific id to remove and install specific id to install on one row. The rules applicable to individual installation and removal still apply. When the process was successfully completed, both the Removed and Installed indicators are selected.

Field description

Remove Indicator

The remove indicator will only be selected if the item/object is successfully removed from the structure.

Install Indicator

The install indicator will only be selected if the item/object is successfully installed from the structure.

Impact Position

This field together with the specific ID defines which position on the Asset will be impacted, by installing into it.

Remove Specific ID

The specific identifier of the object to be removed from this specific position.

Install Specific ID

The specific identifier of the object to be installed into this specific position. Use the lookup to select the item/object ID to be installed. It is important to note that only suitable items/objects that may be installed will be available for selection. The following rules apply:

·  Only items/objects with engineering status of SERVICEABLE are valid.

·  Only items/objects with operational status of AVAILABLE are valid.

·  Only items/objects of the correct object type as defined for the object type structure is valid.

·  Only items/objects valid for the parent (must have the correct structure) is valid.

·  Only items/objects of the correct item number and external item number of a specific vendor is valid. (Only if defined for the structure position for the object type).

Sequence

This defaults to zero. Use this to affect the sequence in which the rows in the Exchange grid are applied, in ascending sequence.
